- What Data We Collect
We collect and process personal information about individuals applying to become models, current and former models, clients, and website users. This may include your name, address, email address, phone number, city of residence, date of birth, height and measurements, photographs (including portrait, profile, and full-body), video material, and links to social media if shared voluntarily. If you are under 18, we require written consent from a parent or guardian. Health documentation may also be requested to comply with the Danish Fashion Ethical Charter.
For clients and partners, we collect names, company information, phone numbers, email addresses, and relevant communication or contractual data. For visitors to our website, we may collect technical data such as your IP address and browser information, including cookies as described in section 10.
- Purpose of Processing
Your personal data is processed so that we can assess applications, establish and manage contractual relationships, communicate with you, match talent with clients, ensure compliance with ethical and legal requirements, and improve our services and website.
- Legal Basis
When we rely on consent as the legal basis for processing, we ensure that such consent is freely given, specific, informed, and unambiguous. For individuals under 18, written parental or guardian consent is always required. All consents are recorded and may be withdrawn at any time.
The legal basis for our data processing includes your consent, the necessity to fulfil a contract, compliance with legal obligations, and legitimate interests related to our business operations.
- Data Retention
In cases where a model has been booked for a job and image rights have been granted to a client for a defined period (e.g., one year), the model does not have the right to request deletion of these images from the client’s use before the agreed term expires. This applies regardless of whether the collaboration with Vero has ended. Once image rights have been contractually granted to a client, this use remains valid and lawful for the agreed duration, even if the collaboration with Vero ends. This processing is based on the lawful necessity of fulfilling a contract in accordance with GDPR Article 6(1)(b).
If we do not proceed with your application, your data will be deleted within 30 days. If you are represented by Vero, your information will be securely stored for the duration of our collaboration and up to five years thereafter, unless we are legally required to retain it for longer.
- Sharing of Data
We do not sell your data. Personal information is only shared when necessary and only with trusted third parties such as clients (in connection with bookings), photographers, stylists, IT providers supporting our infrastructure, or public authorities when legally required. All third-party service providers who process personal data on our behalf are bound by a written data processing agreement (DPA) in accordance with GDPR Article 28. These agreements require the third party to maintain appropriate security and confidentiality standards.
If we transfer personal data to countries outside the EU/EEA, such transfers will be based on appropriate safeguards such as the European Commission’s Standard Contractual Clauses (SCCs), or other lawful transfer mechanisms in accordance with Chapter V of the GDPR.
